Keeping your data safe is our mission.
We prioritize your privacy and only use your personal information to provide you with our HR services, which may involve assisting you in finding employment opportunities with our clients, as well as providing career guidance and coaching.
As a candidate, we will collect your personal information as necessary to evaluate your suitability for work with us or through us. This information may include your name, contact details such as address, email, and phone number, date of birth, gender, details in your cover letter, resume, and application forms including your skills, qualifications, work history, references, goals, and interests, work rights in Singapore or other countries, tax file number, current and desired salary or remuneration package, details of previous employment and responsibilities, work performance information, personality, aptitude, and psychological assessment results, background check results, COVID-19 vaccination status, and any relevant information provided by you, your referees, or our clients regarding your suitability for work with us or through us.
As part of the recruitment process, we rely on the input of your referees to evaluate your candidacy. To facilitate this, you may be asked to provide personal data about your referees, including their names and other relevant information. However, before you do so, it is important that you inform each referee of the purpose of TSS’s use of their personal data and obtain their consent to disclose this information to us. This is necessary for us to evaluate your candidacy for current or future vacancies that we may consider you for in the future.
TSS processes your personal data solely for the following purposes:
- To provide our Services to you, which includes matching and proposing you to clients, arranging interviews and assessments, providing tailored job opportunities, career advice, reskilling options, and introducing you to hiring managers. This processing is based on pre-contractual necessity and is necessary for us to provide you with our matching services.
- To assess your suitability for a role, which may include checking your work rights status, criminal background, credit, and reference checks, or any test or assessment that you might be required to undergo.
- For training and updating of systems and statistical purposes. This may include the use of machine learning technology, which needs to be trained and updated on the basis of existing data. We may also process personal data in an aggregated manner for statistical purposes. We have implemented mitigating measures, such as de-identification and an easy opt-out in your choices, to limit the privacy impact.
- For dispute management and litigation. This processing is necessary for the purpose of the legitimate interests pursued by TSS, which include protecting our company assets, legal interests, and managing legal claims/disputes.
- To comply with labour, tax and social security laws and other legal or regulatory requirements, including equal opportunity and workplace diversity requirements.
- For events. We may use your personal data to invite you to our events and promote our services. This is based on our legitimate interest in maintaining a good relationship with our community of candidates.
- For facilities, security, and contingency planning purposes. This processing is necessary for the purpose of the legitimate interests pursued by TSS, which include safeguarding and securing our assets, facilities, information systems, and people.
- To conduct corporate transactions, including mergers, acquisitions, and divestments. This processing is necessary for the purpose of the legitimate interests pursued by TSS, which include developing our business through mergers, acquisitions, and divestments.
We will keep your personal data only for the period necessary to achieve the purpose for which it was collected or if permitted or required by law. Once we determine that retaining your personal data no longer serves the intended purpose for which it was collected, or is no longer necessary for legal or business purposes, we will delete or anonymize your data so that it cannot be linked to you.

As part of our Services, we may process your personal data if you are employed by a company that we are currently or planning to do business with. This may include using your personal data to make offers for our Services or to establish and maintain a business relationship with your employer.
We process the following personal data about you:
- Business contact information – we may process your name and other business contact information (including email address, landline phone number and mobile phone number), digital signature and languages spoken.
- Professional information – we may process information related to your work including (without limitation) your job title, your location and your department.
- Photographs and video footage – when participating in our events, meetings, conferences etc., we may process photographs or videos of you.
- Survey results – we may process your responses to questions in surveys.
- Visitor information – when accessing our buildings, we may collect your name, contact details, car plate number, identification, etc. for security reasons. Where we are legally permitted to do so we may also ask you to disclose information about your health (including information related to viral infections, flu, etc.) for health and safety reasons.
- Information you choose to share with us – we may process additional information if you choose to share that with us.
- Trade sanctions information relating to you – we may verify whether you are a politically exposed person, a specially designated national or otherwise subject to sanctions under applicable laws or regulations.
It is important to note that TSS will only process the above personal data to the extent necessary for the purposes outlined in our privacy policy. We will not use your personal data for any other purpose without your consent or unless required or authorized by law.
This section outlines the specific purposes for which TSS processes your personal data. These purposes include administering and managing contractual relationships with clients and suppliers, business development, facilities and security management, health and safety management, corporate transactions, event organization, fraud prevention and detection, IT support, surveys, dispute management and litigation, compliance with legal and regulatory requirements, monitoring and enforcing compliance with TSS policies and procedures, and performing internal and external audits. The legal basis for processing your personal data varies depending on the purpose, but may include performance of a contract, legitimate interests pursued by TSS, compliance with legal or regulatory obligations, and protecting company assets and legal interests.
TSS will only retain your personal data for as long as necessary to fulfil the purpose for which it was collected, and in compliance with applicable laws. Once it is no longer necessary to retain your personal data, or if retention no longer serves the purpose for which the personal data was collected, TSS will delete or anonymize your personal data.
